Objective

As a Front Office staff member, you are initially the face of our hotel and the person who warmly and hospitably welcomes guests upon their arrival. You interact with guests, assisting them with any questions they may have. Upon arrival, you ensure a smooth check-in process. At departure, you handle the check-out process with the guest and assist with any final details to facilitate the continuation of their journey. Additionally, you contribute to maintaining a safe hotel environment for both guests and colleagues.

Daily tasks

Check-in & check-out procedures: You are responsible for providing a warm welcome and a friendly farewell to guests.
Information provision: You offer guests tips and advice to make their stay in our city as enjoyable as possible.
Booking tours/tickets/restaurants, etc.: You assist guests with booking whatever they request.
Phone: You answer phone calls and/or direct them to the appropriate person within the organization.
Administrative tasks: You manage administrative tasks related to guests’ stays and respond to emails.
Coordinating room requests: If requested, you make adjustments to room arrangements to accommodate guests’ needs as much as possible.
Reception and lobby cleanliness: You ensure that your workspace and the lobby are kept tidy for our guests.
Back-of-house cleanliness: You contribute to maintaining a clean back-of-house area and ensure that workstations are kept orderly.

Teamwork and collaboration

In the role of a Front Office staff member, you will work collaboratively with a team of receptionists and reception assistants. You will be guided by the Front Office Manager but will operate independently while working respectfully with one another. The division of tasks between Front Office staff and reception assistants is clearly defined; however, through effective teamwork, you ensure a smooth and efficient check-in and check-out process for our guests, providing the assistance they expect, including handling luggage and transportation.

Together with the Reservations department, you strive to offer guests the most suitable room and make adjustments to room arrangements as needed based on the situation.

In addition to collaborating with colleagues within the department, teamwork with other hotel departments is also essential to provide the best quality and service to our guests and exceed their expectations. This includes working and communicating with other operational departments as well as with external suppliers, such as museums or tour operators.

Qualifications and skills

  • Experience at a reception is a plus.
  • Experience working in a team is a plus.
  • Excellent command of Dutch and English (both spoken and written).
  • Experience with computer tasks and POS systems such as Mews and Lightspeed is a plus.
  • Ability to remain calm under pressure and handle unexpected situations effectively.
  • Strong skills in planning, prioritizing, and multitasking.
  • Attention to detail, cleanliness, and hygiene.
  • Willingness to work flexibly, including weekends.

Working conditions

  • The role requires flexibility in both workdays and work hours, including weekends and holidays, depending on the needs of the operation.
  • You must be comfortable working at a computer for extended periods, while also having the physical capability to lift and transport luggage to and from rooms.
  • The work environment includes the reception desk/lobby and the hotel.
