Purpose of the position

The Assistant Front Office Manager is partly responsible for coordinating and optimizing daily reception operations and serves as the Front Office Manager’s right-hand man. In this role, the assistant manager ensures that service quality remains high, contributing to a personalized and guest-focused experience. As the point of contact for both guests and the team, the Assistant Front Office Manager ensures the smooth, efficient, and welcoming operation of the front office.

Daily activities

Operational tasks

  • Co-responsible for the progress of colleagues through continuous on-the-job training.
  • Co-responsible for the onboarding of new colleagues.
  • Overseeing the control of no-shows and late cancellations.
  • Monitoring the cleanliness and order of the lobby and desk.
  • Handling incoming guest mail/reservations and guiding colleagues in this process.
  • Performing concierge-related tasks and facilitating employees in these tasks.
  • Responsible for accurate billing and daily cash flow.

Administration and communication

  • Co-responsibility for the arrival list
  • Transferring important information to the appropriate colleagues
  • Supervising briefings with the morning/evening shift
  • Responsibility for the VIP/RG list and its correct distribution
  • Maintaining contact with the night receptionists and the work schedule
  • Co-responsibility for the work schedule

Projects

  • Implementing improvements in guest contact and service processes
  • Contributing to and expanding VIP policy and working methods
  • Initiating quality improvement projects in collaboration with other departments

Teamwork and collaboration

  • Close collaboration with F&B and housekeeping for an optimal guest experience
  • Regular communication with other departments for task coordination and problem solving

Qualifications and skills

  • Required work experience in a hotel environment, preferably in a similar role.
  • Excellent communication skills both oral and written in Dutch and English.
  • Experience with computer work and POS systems such as Mews and Lightspeed is a plus.
  • Being able to cope with stress and act effectively in unexpected situations.
  • Strong problem-solving skills.
  • Good organizational skills and attention to detail.
  • Excellent hospitality facility.
  • Specific training in hospitality management is an advantage.

Working conditions

  • The position requires flexibility in working days and hours, including weekends and holidays, depending on the needs of the operation.

Working hours

  • Morning shifts: 7:00 AM – 3:30 PM
  • Evening shifts: 2:30 PM – 11:00 PM (Saturday and Sunday 3:00 PM – 11:30 PM)
  • In-between shifts: 11:30 AM – 8:00 PM

Working environment is at the reception desk/lobby and hotel.
